Under the primary supervision of the Manager of Chapter Relations, the Event and Office Coordinator serves as a key liaison between the volunteer and staff communities within the AMC through supporting and contributing to the work of the AMC Volunteer Relations Department. The Event and Office Coordinator plans the AMC’s Annual Meeting, manages the office and reception area for the club’s headquarters, oversees, trains and supervises a team of Reception Area Volunteers, and participates in the mission supportive work of the Chapter Relations and Adventure Travel departments

Responsibilities
AMC Annual Meeting: Full planning, organization, and marketing of AMC’s Annual Meeting, an event that serves to facilitate the exchange of ideas between AMC members, staff, and volunteers to support club programs and chapter initiatives that demonstrate the breadth, depth, and success of the club’s mission and vision.Coordinate all aspects of marketing for Annual Meeting including organization of all printed materials and web-based promotions.

- Organize workshops and displays highlighting the best of the Club’s volunteers, staff, and sponsors.
- Recruit and manage event volunteers.
- Identify appropriate sponsors to support the event.
- Secure an appropriate keynote speaker.
- Direct all matters related to the event including registrations, meeting schedules, hotel contracts, staff attendance, and on-site management and problem resolution.
AMC Headquarters Office Management:
- Supervise, manage, and staff the reception area of AMC’s Boston headquarters. Support and manage the daily security of the building, opening and closing the front offices, and assist in member services.
- Recruit, supervise, and train a community of long term and on-call volunteers to assist in covering the administrative and security responsibilities of AMC’s reception area. Determine their participation in other mission supportive activities as appropriate.
- Manage all program details including performance evaluations, volunteer recognition, and a system for covering reception tasks during absences.
Support of Chapter Relations: Work with AMC’s chapter volunteers and AMC staff.
- Work with staff and volunteers to achieve the goals of AMC’s Vision 2010 through volunteer development, relationship building among chapters and between chapters and staff, and employing specific strategies to build on chapter strengths in support of the mission.
- Work with chapters in marketing and planning Fall Gathering. Assist with advertising, organize committee meetings, and track progress.
- Coordinate staff attendance at Chapter Annual Meetings.
- Travel to AMC chapter events and activities.
- Create and distribute the annual AMC Volunteer Handbook.
Major Excursions: Administrative support for AMC’s Travel Programs.
- Maintain, update, and monitor safety certification of all leaders.
- Process and distribute Participant Evaluation Summaries
- Compile and distribute Approved Letter Packets and Leader Packets
- Maintain all trip folders
Web and Intranet Support:
- Oversee AMC’s presentation of volunteer opportunities on the web. Work with both staff and chapters to develop and highlight a spectrum of opportunity. Edit and update volunteer pages at www.outdoors.org.
- Update volunteer information in AMC’s intranet. Provide user assistance and education for accessing the intranet. Send bulk messages, post new documents, create announcements as appropriate.
Employment Qualifications
- Bachelor’s degree and/or related work experience, or high school diploma and 5 years related experience
- Demonstrated abilities to work independently or with a team
- Strong project management skills to deal with multiple projects simultaneously
- Attention to detail
- Prior volunteer experience and a strong volunteerism ethic
- Proficiency with Microsoft Office suite Enthusiasm for AMC’s mission, preferred
- Physical ability to work in an office setting, operating standard office equipment. Ability to travel safely in the backcountry on unimproved trails carrying up to 40 pounds required occasionally.
